Ōlaōla Chatbot Privacy Policy and Security

The personal information Ōlaōla collects
Ōlaōla is not anonymous. It uses Facebook Messenger to deliver the chatbot service.
To provide the Ōlaōla chatbot service, Facebook shares some information from your Facebook profile. This happens when you first use Ōlaōla.
Additional personal information is collected from you when you use Ōlaōla so that we can provide personalised support to you, as well as for our separate research and health promotion purposes.
This means that the personal and health information you provide Ōlaōla when you use it, as well as personal information from your Facebook profile, will be collected and held by us and by Facebook. It is not possible to use Ōlaōla without your information being collected and held by us, Chatfuel and Facebook.

If you use particular words with Ōlaōla that may indicate you are in distress or struggling, Ōlaōla may suggest you refer to Quitline or other health services for support.
You don’t have to provide the personal information requested by Ōlaōla, but if you choose not to then you may not be able to use it.
How we use your information
We will use the personal information we collect from you via Ōlaōla to provide you with a personalised quit smoking support service within Ōlaōla.
We will also use this information for our own internal research purposes, but we will de-identify it first.

Will my information be shared with anyone else?
We will not publish or share your identifiable personal or health information with any other organisation unless we are required to by law, or as permitted by the Privacy Act 2020 and where applicable, the Health Information Privacy Code 2020.
We may share anonymous and aggregated information about Ōlaōla users with public sector health agencies and other organisations and individuals that have an interest in our organisation and the services we provide.
How is my information stored?
We take your privacy seriously and will take all reasonable steps to ensure that your personal information is stored in a secure environment and protected from unauthorised access, use, modification or disclosure.
This includes where it is being stored on our behalf by Chatfuel, the chatbot platform we have chosen to use to deliver the Ōlaōla chatbot. Chatfuel stores Ōlaōla user personal information in Google Cloud data centres located in the United States of America.
We store Ōlaōla user personal information on a secure, cloud-based, Google Drive. We protect our data with all reasonable technical and process controls. We retain personal information in compliance with the requirements of the Public Records Act 2005.
How long is my information held?
We will only hold your personal information while we are providing you with the Ōlaōla services, and after you stop using Ōlaōla for a time frame which is at the discretion of the services that provide the Ōlaōla services. Chatfuel and Facebook will retain your personal information in accordance with their own policies.
Where any information (which may include personal information) provided to us through Ōlaōla constitutes a public record, it will be retained as required by the Public Records Act 2005.
Exercising your privacy rights and complaints
You will be able to access the information you provided via Ōlaōla from the chat records accessible from your own personal Facebook account. You can also ask us to provide the information we hold about you and request corrections to it. If we have a good reason for refusing a request for correction, you are entitled to ask that a statement be attached to the information that the requested correction was not made.
